Administrative Assistant

Reports to: General Manager
Location: Community Futures Boundary (CFB) office, on-site
Employment Type: Part-time (12-16 hrs/week), temporary (6 month term) with opportunity for extension

Schedule:

Fixed Hours

    • Tuesday 1:30-5:30pm,
    • Friday 8:00am-4:30pm

Flexible Hours

    • flexible additional 4 hour shift,
    • occasional Wednesday evening shift from 3:30-7:30pm.

Optional: opportunity for on call, casual shifts

Wage:

$20-24/hr

Position Summary

The Administrative Assistant provides basic administrative support to the General Manager and supports the office by providing relief coverage of the Resource Area.

Key Responsibilities

General administration

    • Support effective organizational communications and information sharing across channels
    • Support effective meeting governance, documentation, and follow-through
    • Support the successful planning and execution of organizational events and activities
    • Maintain day-to-day administrative support for office resources and facilities needs
    • Contribute to reliable record-keeping and documentation practices

    Resource Area Relief

    Initial Contact
        • Serve as the initial point of engagement for individuals accessing the Resource Centre, assessing needs and directing clients to appropriate services and supports
        • Respond to public inquiries and provide accurate information regarding WorkBC services
        • Ensure new clients are oriented to Resource Centre services, expectations, and available supports
        • Identify client needs beyond employment services and facilitate appropriate referrals to community supports
    Client Access to Information
        • Support clients in accessing information related to income and employment supports
        • Ensure accuracy and currency of Resource Centre informational materials
        • Promote and facilitate client participation in relevant employment programs, workshops, and services
        • Support clients in exploring career interests and in conducting effective job searches, including the use of online job boards, approved assessment tools, and the development of application materials.
    Client Access to WorkBC Services
        • Support clients in accessing and effectively using digital employment service platforms required to engage in WorkBC services
        • Provide individualized, barrier-aware support to facilitate equitable client access to employment resources, technology, and WorkBC services, including step-in assistance to address gaps in basic digital skills when required.
        • Ensure accurate and compliant client intake and registration in accordance with program requirements
        • Monitor client progress to identify when case-managed support may be appropriate, and facilitate timely access to case management services through appointment coordination.
        • Support efficient Resource Centre operations through coordination of supplies and client support resources

    Qualifications & Experience

    • Administration experience considered an asset
    • Experience with board governance considered an asset
    • Experience with social media use in a professional setting
    • Experience in a public/customer service setting considered an asset
    • Experience with event planning considered an asset
    • Experience with graphic design considered an asset
    • Driver’s license and available vehicle for local travel, as needed.

    • Confidence with M365 apps
    • Confidence using main social media platforms
    • Confidence with Canva considered an asset
