IN GENERAL:

Over the past year CLSS has undergone a change in its operational configuration and requirements. As part of this change, it was identified that in order for our Coordinator to focus on the technical aspect of their work, they require support with administrative and general tasks. CLSS is looking for a highly motivated person with strong administrative skills and an interest in the environment to address those needs.

Although the position mainly focuses on supporting our Coordinator in an administrative role, for the right candidate there may be opportunity for occasional field work or other tasks. At this time the position offered is temporary part-time of 2 days per week, at a rate of $18/hr plus holiday pay at 4%. Currently there are no other benefits offered. At this time we cannot confirm the length of this temporary part-time position, however there is potential that this position could become a permanent part-time with more hours. Any wage increases would be dependent on performance, budget and funding available. We are looking to fill this position asap and the posting will remain open until a successful candidate is found.

BASIC FUNCTION:

Under the direction of the Stewardship Coordinator and the Board of Directors, the Administrative Assistant will perform a wide variety of administrative duties which would include but would not be limited to, filing, record keeping, and general organizing in various degrees, providing assistance in environmental programming, interacting with the public, may include some field work such as data collection and other related duties.

REPRESENTATIVE ESSENTIAL DUTIES:

  • Primarily role is to support the Coordinator.
  • Prepare and maintain a variety of records, files, and environmental educational materials for the office, resource library, interpretive gallery, and events;
  • Receive training for CLSS operations, programs and projects in an administration role.
  • Prepare and distribute information packages for the local resorts;
  • Maintain    a    record    tracking    system     for    volunteer     in-kind                  contributions,                 membership   lists, nursery/riparian inventory etc.;
  • Perform routine administrative duties such as taking phone calls, writing messages and scheduling appointments;
  • Assist the Coordinator to schedule and organize volunteers for various Stewardship programs and projects;
  • Become familiar with and follow CLSS safety plan;
  • Operate computers, fax, and copy machines;
  • Enter and retrieve electronic data, maintain records, and generate reports; utilize word processing, spreadsheets, data base and other software required by position;
  • Receive training for CLSS operations, programs and projects in an administration role.
  • Maintain a positive staff and public relations image.

KNOWLEDGE AND ABILITIES:
Knowledge of:

  • - Modern office practices, procedures and equipment operation
  • - Record keeping techniques
  • - Correct English language usage, grammar, spelling, punctuation and vocabulary
  • - Excellent Oral and written communication skills
  • - Software such as word processing, spreadsheets, various database and graphic applications

Ability To:

  • - Learn and apply the policies, rules and regulations of the Community Stewardship Resource Centre
  • - Perform field work on an as needed basis
  • - Work flexible work hours that may occasionally include weekends.
  • - Perform responsible administrative work with speed and accuracy
  • - Operate computer, printers, copier & fax machines
  • - Utilize Microsoft software programs
  • - Understand and follow oral and written directions
  • - Work cooperatively with others or occasionally on own
  • - Ability to multitask
  • - Establish and maintain effective working relationships with others
  • - Meet schedules and time lines
  • - Show initiative and inventiveness
  • - Plan and organize work
  • - Maintain file records and prepare reports

  • - Communicate both orally and in writing
  • - You may be requested to provide a drivers abstract and criminal record check
  • - You may be required to take First-aid training or any other training that CLSS deems appropriate for your position.
